Booking Conditions for Mental Health First Aid & Workshops.

Welcome to Internal Dialogue. These Terms and Conditions apply to all training courses, workshops, and blended learning solutions delivered by Internal Dialogue, unless alternative arrangements are explicitly agreed to in writing.

By confirming a booking or making a payment, you agree to be bound by these terms.

1. Fees and Payment

  • Securing Your Booking: A 50% upfront deposit is required to secure your booking slot.

  • Balance Due: The remaining balance must be paid in full at least seven (7) calendar days before the training commencement date.

  • Short-Notice Bookings: Any bookings made within seven (7) calendar days of the training date require full payment at the time of booking.

  • Account Terms: Extended account terms of up to 30 days from the invoice date are available strictly via prior written approval.

  • Quotes and Inclusions: Your official quote will confirm total participant numbers, course inclusions, Goods and Services Tax (GST), and any agreed travel or accommodation charges. Group and not-for-profit rates may be available upon request.

2. Cancellations and Refunds

To cancel a booking, you must notify us in writing by emailing hello@internaldialogue.com.au. Notice periods are calculated in calendar days leading up to the first scheduled training session.

2.1 Cancellation Fees

  • 30 days or more notice: You will receive a refund of payments made, less unrecoverable booking expenses and reasonable administration charges (disclosed to you prior to booking).

  • 14–29 days notice: A cancellation charge of up to 50% of the total booking fee applies.

  • Fewer than 14 days' notice: A cancellation charge of up to 100% of the total booking fee applies.

2.2 Assessment of Charges

All cancellation charges are calculated fairly to reflect our reasonable costs and actual losses.

2.3 Non-Attendance & Online Courses

  • No-Shows: No-shows and partial attendance do not qualify for a refund where the training remains available.

  • Online and Blended Learning: Participant details must be confirmed before digital access is issued. Once an online voucher is activated, a $160 per-person charge applies if the access cannot be reassigned or its cost recovered.

3. Transfers and Substitutions

  • Rescheduling Training Dates: Date change requests require at least 14 days’ written notice and are strictly subject to availability. Any additional costs must be agreed upon beforehand. Requests made with less than 14 days' notice will be assessed under the standard cancellation terms.

  • Face-to-Face Substitutions: You may swap face-to-face participants free of charge, provided you give us at least three (3) business days' notice.

  • Online/Blended Substitutions: Swapping participants for digital or blended learning depends on access status and external provider conditions. Replacement access fees may apply.

4. Participant Numbers and Course Limits

  • Minimum Attendance: Our courses normally require a minimum of six (6) participants. Where a minimum enrolment rule applies, we will confirm whether the training will proceed at least seven (7) days before the start date.

  • Reduced Attendance: If your group numbers fall below the minimum requirements or the numbers listed on your quote, your private group booking fee is not automatically reduced.

5. Travel, Accommodation, and Venues

  • Participant Arrangements: Participants are responsible for arranging their own travel and accommodation.

  • Trainer Travel Costs: Any charges for trainer travel and accommodation must be agreed upon in writing. Unrecoverable travel expenses caused by a client cancellation will be assessed under Section 2.

  • Host Facilities: Clients hosting private training sessions must provide the agreed-upon facilities and ensure a safe, suitable venue.

6. Materials and Certification

  • Course Materials: Required training materials will be supplied electronically or in print format.

  • Certification: Certificates or accreditations are conditional upon the participant completing all course attendance, learning, and assessment criteria. The specific certificate type, issuing body, validity period, and renewal rules will be detailed in your course information.

  • Accreditation Disclaimer: Standard attendance certificates do not constitute nationally recognised qualifications. Where nationally recognised training is provided, the Registered Training Organisation (RTO) and specific requirements will be clearly identified before booking.

7. Health, Safety, and Conduct

  • Safety Compliance: Participants must follow all reasonable instructions from the facilitator and adhere to the venue's safety requirements. Safety layouts and rules will be explained at the start of the session.

  • Disruptive Behaviour: We reserve the right to pause training or remove a participant if their behaviour creates a safety risk or seriously disrupts others. Any resulting fee consequences will be assessed fairly. Please raise any physical or safety concerns with the facilitator immediately.

8. Wellbeing and Accessibility

  • Sensitive Content: Please note that our training programs may cover sensitive topics, including mental illness, trauma, medical emergencies, and suicide prevention.

  • Adjustments: We encourage you to discuss any accessibility or learning requirements with us prior to the session. Participants may speak privately with the facilitator at any time regarding adjustments, concerns, or the need for a break.

  • Scope of Service: Facilitators provide educational and instructional support within their professional role. This training is not a replacement for professional individual assessment, clinical counselling, or medical treatment.

9. Liability and Consumer Rights

  • Our Commitment: We will deliver all training and workshops with due care, skill, and professionalism.

  • Participant Belongings: Participants remain solely responsible for their personal belongings and for following safety guidance.

  • Australian Consumer Law: Nothing in these terms excludes, restricts, or modifies any rights, remedies, or guarantees that cannot lawfully be excluded under the Australian Consumer Law (ACL) or other applicable local legislation.

10. Cancellations and Changes by Internal Dialogue

  • Delivery Adjustments: We reserve the right to make reasonable adjustments to course delivery or substitute a suitably qualified facilitator, provided the agreed course requirements are maintained. We will notify you promptly of any changes.

  • Provider Cancellation: If we must cancel a session, you will be offered the choice of an alternative training date or a full refund.

  • Significant Changes: If we significantly alter the date, location, format, or agreed content of the training, you may choose to accept the change or cancel the affected services without penalty, receiving a full refund for any services not delivered.

11. Acceptance and Contact

These terms are provided or linked before booking acceptance. The specific version accepted at the time of booking, alongside any mutually agreed written variations, forms the binding contract.

If you are booking on behalf of an organisation, you warrant that you have the authority to bind the organisation and agree to distribute all relevant preparation, attendance, and wellbeing information to the individual participants.
